International Visegrad Fund has put into operation an electronic application portal

Although most of the communication between the Fund, grant beneficiaries or stipendiarees as well as other subjects has taken place in an electronic form already since the establishment of the Fund in 2000, only this year there was put into operation an application portal, which works fully on-line and enables not only simple but also quick filling in of grant or scholarship applications, and also search for project partners. These electronic innovations will be presented on the occasion of V4DIS meeting in Hradec Kralové in April 2008.

The system for accepting application forms with a working title Visegrad Application Form means simplification of the whole application process for the applicant as well as for the inspectors and project managers of the Fund. It provides security and archiving of all data, synchronicity between an electronic and paper form of application and above all it provides possibility to interrupt the application and return to it for example only at the moment when the applicant has prepared all the scans of the documents which must be uploaded.

In the Visegrad Application Form there is also integrated an administrative part, which enables grant managers in a real time an instant access not only to each applicant, but it also generates automatic overviews of all registered, approved projects, and also of the most frequent shortages in the applications. Detailed overviews are meant for archiving all data and at the same time they also perform statistic overviews for each deadline period or generally for the whole period of the programme.

Another new electronic application, which originated at the instance of grant applicants themselves, is a system called Visegrad Find. A basic condition for grant applicants at the Visegrad Fund is their cooperation with partners from other Visegrad countries. In crossborder projects obtaining partners is not usually a big problem, in specialised projects taking place in Visegrad "inland" it can be however more complicated. It is in fact an electronic noticeboard with "advertisements". Applicants describe the basic characteristics of their projects, time estimate in which they plan to apply for a grant and also the type of programme and then they place their application on the internet page of the Fund. Potential parties interested in cooperation can then simply contact them--the only condition, which must be fulfilled, is leaving an e-mail address.
